Sort, group, and filter tasks

Find the tasks you need by sorting, grouping, filtering, and searching your task list.

Sorting tasks

You can change how your tasks are ordered to surface what matters most.

  1. Open the Tasks tab.
  2. Tap the filter icon at the right-hand end of the search bar. It opens one sheet with Group by, Sort by and Filter by sections. Once you've picked a sort other than the default, a chip for it (Due date, Updated or Added) also appears under the search bar and opens the same sheet.
  3. Under Sort by, choose an option:
    • Most relevant date — Orders tasks by their scheduled date if they have one, otherwise their due date, otherwise their reminder date. Tasks with none of these are ordered by when you added them. This is the default.
    • Due date — Orders by due date only.
    • Recently added — Newest tasks first.
    • Recently updated — Most recently changed tasks first.

Sorting is disabled when you are viewing completed tasks. Completed tasks are always shown in reverse chronological order.

Grouping tasks

Grouping organises your task list under headings so you can see related tasks together.

  1. Tap the filter icon at the right-hand end of the search bar.
  2. Under Group by, at the top of the sheet, choose an option:
    • Date — Groups tasks under date headings that follow your sort. With Most relevant date or Due date, the headings are Past, Today, This week, Soon, Later and Someday. Past holds anything dated before today, including overdue tasks, and Someday holds tasks with no date. With Recently added or Recently updated, tasks are grouped by when they were added or updated: today, yesterday, in the last 7 days, last week and previously. Completed tasks are always grouped by when you completed them. This is the default.
    • List — Groups tasks under the list they belong to.
    • Tag — Groups tasks under each tag they carry.

Filtering tasks

Filters let you narrow down your task list to show only what you need.

  1. Tap the filter icon at the right-hand end of the search bar. Filter by is the last section of the sheet.
  2. Choose one or both filter types:
    • Filter by list — Pick one or more lists to show only tasks in any of them.
    • Filter by tag — Pick one or more tags to show only tasks carrying any of them.
  3. Your list updates as soon as you tick a list or tag. Tap Done to close the picker. If you use both filters, a task has to match both to show.

Each active filter shows as a chip under the search bar. To clear a filter, tap its chip (or choose Filter by list or Filter by tag in the sheet again), then untick your selections or tap Clear.

Searching tasks

Use the search bar (Search task...) at the top of the task list to find tasks by words in their title or description. It appears once you have at least one task, and it searches whichever view you're in, Active or Done. In Done, it searches the completed tasks loaded so far. Search is real-time and updates as you type.

Viewing completed tasks

When you have completed tasks, two chips, Active and Done, appear in the row under the search bar. The first time, a hint on Done points you to your completed tasks.

  • Active — Shows your open tasks (default).
  • Done — Shows tasks you have completed.

Completed tasks load 100 at a time. On the free plan you can see your last 100 completed tasks.
