Organise with tags

Use tags to categorise and filter tasks, notes, and journal entries across the app.

What are tags?

Tags are labels you can attach to tasks, notes, and journal entries to categorise them across features. Unlike lists, which group items in one place, tags let you slice your content in flexible ways — for example, tagging items as "work", "personal", or "urgent" regardless of which list they sit in. Tag names are saved in lowercase and can be up to 30 characters long, using letters, numbers, underscores, dashes and full stops (no spaces).

Adding tags

  1. Open a task, note, or journal entry.
  2. Tap Add tags (or the tags already on it). On a note, tap Edit first. In a reflection, tap the tag button in the toolbar at the bottom of the last step.
  3. Choose from your existing tags, or type a new tag name and tap + Create tag to create one.
  4. Select as many tags as you like, then tap Done.

Notes and journal entries save on their own, so a tag change there sticks without any extra step. On a task, tap Save to keep your tag changes. If you leave without saving, we ask Discard changes?: tap Stay here to go back and save, or Discard to drop the change. You can add or remove tags at any time by editing the item.

Filtering by tags

Tags become especially useful when you want to find related items across the app:

  • Tasks — Open the Tasks tab and tap the filter icon to the right of the search bar. Under Filter by, tap Filter by tag, pick one or more tags and tap Done. The list shows tasks that have any of the tags you picked, and a tag chip appears under the search bar. Tap the chip to change your selection, or tap Clear in the tag sheet to remove the filter.
  • Notes — Open the Notes tab and filter by tags to narrow down your grid.
  • Journal — Open the Journal tab and filter by tags to find reflections on a particular topic.

You can also group tasks by tags on the Tasks tab to see all your tasks organised under their tag headings.

Managing your tags

Tags are created inline the first time you use them — there is no separate setup step. Once a tag exists, it is available across all features.

If you use shared lists, tags are shared with collaborators when you create or update items. This keeps everyone on the same page when categorising shared work.

Tips for using tags effectively

  • Keep it simple — A small number of meaningful tags is more useful than dozens of granular ones. Start with broad categories and add more only when you need to.
  • Use alongside lists — Tags complement lists rather than replacing them. A task might live in a "Holiday" list but also be tagged "booking" to group it with bookings from other lists.
  • Cross-reference features — Tag a task, its related notes, and your journal reflection with the same tag. Then filter the Tasks, Notes and Journal tabs by that tag to pull up everything about a project or topic. Each tab filters on its own, as there is no single view that shows all three together.
