Archive and organise notes
Keep your notes tidy by archiving what you no longer need, assigning notes to lists, and using tags and colours.
Archiving notes
When you no longer need a note in your active view but want to keep it for reference, archive it instead of deleting it.
- Open the note you want to archive.
- Tap the note menu (three dots).
- Tap Archive, then tap Archive again to confirm.
The note moves out of your active view and under the Archived filter.
Viewing archived notes
- Open the Notes tab.
- Tap the Archived filter under the search bar, next to Active.
Archived notes are displayed in the same masonry grid as active notes. You can open and read them, but they're read-only: you can't edit them until you unarchive them.
The Archived filter only appears when at least one archived note matches your current view. Archived notes in an archived list, or in a list with Show notes on the Notes tab turned off, don't count. Nor do notes hidden by your search or filters.
Unarchiving a note
To bring a note back to your active view:
- Tap the Archived filter on the Notes tab.
- Find the note and open it.
- Tap the note menu and choose Unarchive, then tap Unarchive again to confirm.
The note returns to your active notes list.
Assigning notes to lists
Notes can belong to a list, just like tasks. This keeps related notes and tasks together in one place.
- Open a note and tap Edit (the pencil button at the bottom of the screen). A note you've just created is already open for editing, so you can skip this.
- Tap Add to list, or the list's name if the note is already in one.
- Choose a list and, optionally, a section within that list.
You can move a note to a different list whenever you edit it, by changing the list assignment. Archived notes are read-only, so unarchive a note before moving it.
Adding background colours
You can give a note a background colour to make it stand out in the notes grid. Open a note, tap Edit, then tap the palette icon in the toolbar at the bottom. Choose one of the 10 preset colours, which are free, or mix your own custom colour with PRO. To remove a colour, open the palette again and tap Clear. This is a simple way to visually categorise or prioritise your notes.
Using tags
Tags let you categorise notes and find them later using filters. Open a note, tap Edit, then tap Add tags (or the tags already on the note) and choose one or more tags. You can then filter your notes view by tag to see only related notes.
Tips for keeping notes organised
- Archive regularly — Move finished project notes or reference material to the archive so your active view stays focused.
- Use lists for context — Assign notes to the same list as related tasks, so everything for a project or area lives together.
- Combine tags and lists — A note might belong to a "Holiday" list but also carry a "Bookings" tag, letting you find it from either angle.
